Words, process, or structured data → Notion. A file → Google Drive.

Put it in… When it's… Examples
Notion a process, note, decision, or list you'll search/update SOPs, order log, content calendar, product register, canned replies, meeting notes
Google Drive (Shared Drive) a file — binary or large product photos, design source files, supplier PDFs, invoices, video

If a Notion page needs a file, upload it to Drive and paste the link — don't store big files in Notion.

Escalation rule: anything technical, billing, or site-breaking → Michael. Anything about pricing, brand, or a tricky customer → Tina. Everything else the inbox team handles.

Google Drive — Shared Drive structure

Create one Shared Drive named Opalescence (Drive → Shared drives → New). Add the team as members. Suggested folders:

  03 Marketing/           — campaign assets, social graphics, exports
  04 Suppliers & admin/   — supplier docs, certificates, agreements
  05 Finance/             — invoices, receipts (restrict access)
  06 Operations/          — scanned docs, misc

Live Shared Drive: Opalescence (Shared Drive) — created 2026-06-17. Members: info@ (Manager, = the 3 operators via shared login), [email protected] (Content manager), [email protected] / Tina (Content manager). admin@ is NOT a member (Cloud Identity Free has no Drive).

Storage: on Business Starter you share a 30GB pool. Watch it as product photography builds up; upgrade info@ to Business Standard (2TB) when it gets tight — no rush.
